Why a clear agreement matters before the move
When an agreement is verbal or vague, disagreements show up on moving day at the worst possible moment: the crew has arrived, the family is tired, the building is waiting, and nobody remembers exactly what was said on the phone. So the most useful thing you can do to reduce stress is to agree in advance, clearly, on what will be done, when, how, and on what financial terms, and to have it written down or kept in messages you can go back to. The aim is not a complicated contract but a few simple points that both sides understand.
We write this page from what many customers face. We do not quote figures or percentages here, because financial details are agreed case by case. The goal is that you know what to ask and confirm, whether with Al Forsan Al Thalatha or with any other company.
First: the scope of work in detail
The first item is a description of what will be done. Does the agreement cover moving furniture only, or also disassembly, assembly and packing? Does it include appliances? Is there temporary storage? About how many rooms or pieces are there? What is the address in Jeddah or outside it? Is there a lift? Which floor? Are there large, heavy or delicate items such as safes, tanks or chandeliers? The more exact the description, the more honest the estimate and the fewer surprises. It also helps to read moving quote and pre-move survey to see what we normally ask.
- Type of service: moving only, or moving with disassembly and packing.
- Pickup and drop-off addresses, floors and lifts.
- A list of large and delicate pieces and appliances.
- Truck type and expected number of workers.
- Any extras: winch, storage, clearing packing waste.
Second: the date and timing
Set the day and approximate arrival time, and ask about the possible margin of delay and how you will be contacted if the time changes. In Jeddah heat, traffic and seasons can affect timing, so it helps to agree on a clear time window rather than a rigid hour. If your building management sets limits, such as lift hours or truck parking, tell the company in the agreement. Note that moving at peak times may need early booking.
Third: the deposit, and how to understand it
A deposit is a sum paid when the booking is confirmed to show both sides are serious and to hold the date, and it is normally part of the total agreed amount if the work goes ahead. Practices differ between companies: some ask for a deposit and some do not, and we do not give a fixed figure here. What matters is that you know a few simple things before paying: how much is the deposit? Is it deducted from the total? What happens to it if the booking is cancelled or postponed? And is it recorded in a receipt or message? Do not pay any amount without a record of what you paid and why.
- Ask for a receipt or a message confirming the deposit.
- Know whether it is deducted from the total, and how.
- Ask about rescheduling and cancellation terms before paying.
- Do not send money to a party you do not know without confirming the company's identity.
Fourth: payment timing and method
Agree in advance when the remaining balance is paid: before the start, after loading, or after unloading and checking the items. And how: cash or transfer? If it is a transfer, keep proof. We do not recommend paying the full amount up front before you know the company and are sure of its seriousness. When you pay any amount, ask for proof of payment; proof protects you and the company from any later confusion.
Table: agreement items and what to ask
| Item | What to ask | Why it matters |
|---|---|---|
| Scope of work | What is and is not included | Prevents disputes over extras |
| Date | Day, time window and delay | Organises your schedule and the building's |
| Deposit | Amount, deduction and refund | Shows seriousness and protects you |
| Payment | Timing, method and proof | Documents rights |
| Extras | What is charged separately | Avoids surprises |
| Rescheduling and cancellation | Terms and notice period | Sets responsibility |
| Delivery check | Inventory and notes | Protects you if something is damaged |
Fifth: extras and what is charged separately
Extras can appear on moving day that were not in the agreement: a winch for a piece that will not fit on the stairs, a longer carrying distance than expected, more items than listed, or waiting because the building was not ready. To avoid misunderstanding, ask in advance: what affects the calculation? What counts as an extra? And how will you be told before it is carried out? It is better to be told about any extra before it is done, not after. Our other service pages explain factors that change the calculation, so read them to see what influences an estimate.
Sixth: rescheduling and cancellation
Circumstances change: a delay in handing over the flat, illness in the family, or bad weather. So ask before booking: how much notice is needed to change the date? What happens to the deposit? Are there fees? Who bears the cost of waiting if the crew arrives and entry is delayed? Settling these points in advance spares you a dispute at a sensitive time. For our part, we prefer to hear of any change early so we can reorganise the schedule to suit both sides.
Seventh: packing and responsibility for items
Ask who supplies the packing materials, how delicate items are wrapped, and what you should prepare yourself, such as emptying drawers and appliances. Agree that you will photograph the current state of important pieces before lifting, since this makes it easier to review any note after unloading. Other pages explain wrapping methods, including furniture packing in Jeddah.
Eighth: delivery and recording your notes
After unloading, walk through the pieces with the crew and compare them with the inventory and photos, switch on the main appliances, and make sure what was taken apart has been reassembled. If you find an issue, mention it at that moment; recording it on the spot is easier than going back days later. Do not hesitate to ask to see any piece in a box before the job finishes. At the final payment, ask for a receipt for what you paid.
A short sample agreement message
You do not need to write a long contract. It is enough to send one message on WhatsApp or another app collecting the basic points and asking the company to confirm. You might say that you confirm the agreement to move apartment furniture from one district to another on a given day in the morning window, that the work includes disassembly, assembly and wrapping of the agreed pieces, that the amount, payment time and method are as discussed, that any extra will be notified before it is carried out, and that rescheduling terms are as explained to you. Then ask them to reply to confirm. This simple message saves a lot of argument later and shows both sides are serious.
In the same message you can add details about your building: the district, the floor, whether there is a lift, where the truck can park, and the phone number of the person who will receive the crew. These small details are what save time on the day.
Agreements for moves outside Jeddah
If you are moving to another city there are a few more items. Agree on the departure time and expected arrival time, who receives the crew in the new city, how waiting is handled if entry to the compound or building is delayed, and how breakdowns on the road are dealt with. Also settle whether the trip is counted one way or includes the return of the truck, and what goes into the calculation. All of that is detailed case by case. To learn how moves between cities work, read moving from Jeddah to Riyadh and moving from Jeddah to Makkah.
After the agreement: the day before
The day before, review the agreed messages, confirm the number of the person in charge of the crew, prepare the deposit balance if it will be paid on arrival, prepare drawers and small items, and make sure the lift and parking are ready. Send the company a confirmation of the date and ask to be told when the crew sets off. If anything changes in the building or the date, tell them at once, because the earlier you say so the easier the solution.
Communication on the day
During the move stay in touch with the person in charge, and be present or send someone to guide the crew and check items at unloading. Avoid giving conflicting instructions from several people; let one person direct. If a problem arises, such as a piece that will not pass the door or a broken lift, call the person in charge immediately so you can agree a solution and any cost it brings before it is carried out. This approach saves time and goodwill, and makes the final payment smooth and clear.
How to protect yourself from disputes
- Write the key points of the agreement in one message and wait for confirmation.
- Keep photographs of items before and after the move.
- Ask for the name and number of the person in charge on moving day.
- Do not rely on general promises like we will do what is needed; ask for details.
- Check the company's identity, address and contact number.
- Report any change as soon as it happens.
